stewarding public sessions and groups

* Arrive 15min before start time.    
*  Helpful if stewards wear the club badge, cap or shirt as ID.

BASIC Checklist

Opening 

  • Open Match Room.
  • Raise the club flag (in top right draw).
  • Put out Play Bowls banners on street
  • Open the Scoreboard shed and A Green toiletLeave keyring in the shed door to help remind you to lock the toilet when closing up.
  • Put our Club flyer holder on the deck pole screw (under the right-hand A5 poster frame) and sanitizer & sun block out in clear view- at the end of the deck rail or on a bar leaner.
  • Mark out rinks (if not already marked). They may just need a touch-up.
  • Turn on music  (see below*) or ask AIC bar staff to turn on and select one of the greens playlists- Friday Evening Greens, Eediot's Summer, Eediot's Chill)​​​​​​​

Closing

  • Bring in mats, jacks and bowls. Wipe with spray if necessary
  • Quick circuit of green for lost sunglasses, vapes, jandals, small children, etc…
  • Return any scoreboards and close and lock the shed and green toilet door.
  • Lower club flag and return to draw
  • Bring in Play Bowls banners
  • Enter number of members/guest/free bowlers on the Stewards’ Log for that date. 
  • Lock Match Room.

* Bar staff should be able to do this if you’re not confident, but if you want your choice of music outside instructions are at the back of this manual. 

No one bowls without a ticket or receipt from the bar, or a valid membership card. 

Members can bring x1 guest for free. MARL, AIS and GAA members pay $5 at the bar with proof of membership (but we’re not precious about proof- it’s only $5, we prefer they played).

DETAILED INSTRUCTIONS
Do as many of the following as you can...

OPENING UP > > > > >

  • Open Match Room.
  • Raise the club flag (in top right draw).
  • Raise "OPEN Visitors welcome" banners by fence on streetside corner of B Green. These are stored on top of lockers in the Locker Room (only required for Pay 2 Play) along with ground spikes.
  • Open the Scoreboard shed and A Green toilet- the keys for these hang on the speaker switches at the far end of the Match Room window. Leave keyring in the shed door while up to help remind you to lock the toilet when closing up.
  • Ensure our Pay to Play and Jack Attack pilsner bar signs are prominent on the bar or at the hatch (if that’s being used).
  • Put our Club flyer holder on the deck pole screw (under the right-hand A5 poster frame) and sunblock out in clear view- at the end of the deck rail or on a bar leaner.
  • Mark out rinks (if not already marked). They may just need a touch-up.
  • Turn on music *
  • No need to put bowls or matts out if there are no groups booked, just get them out as people request them. 

While open, greet pay-to-players, explain green rules (flat-soled footwear and no drinks on the green), location of toilets and bar (hatch if necessary) and organise mats, jacks and bowls. 

Offer advice and coaching if required- just whatever you’re comfortable with.

FOR GROUPS

  • Confirm any pre-paid groups coming or special offers (Valentine dates free, Fowlds Park neighbours, etc). 
  • Write on a piece of notepaper: contact name of each group booked, the number booked and the number paid for.
  • Get the bar staff to provide stamps/tickets to bowlers up to this number and mark off on the note. Any other players over and above these pay separately- or at least additionally to the deposit paid bowlers- and bring their bar receipt to you.

When welcoming groups ask everybody who is bowling to show their stamp or give their bar receipt to you. This should get around the issue of trying to recover them from people once already bowling.

Welcome, my name’s … thanks for choosing Rocky Nook.

Only two rules: Flat-soled shoes; no food or drinks on the green (buy a drink for each end if that’s easier  ;-) )

  • Count the players / keep the tickets/receipt if used, and tally at the end of the day to match with the bar payments later. Enter this number on the Stewards’ Log for that date along with the number of members/guest/free bowlers
  • Lock Match Room.


Sample farewell message

Always remind visitors as they leave that Limited Playing (social) membership is only $50, and they get 24/7 access to bowls equipment with x1 guest any time the greens are open + member bar prices

- LOG ALL MEMBERS, GUESTS AND PAID VISITORS ON THE STEWARDS’ LOG. The latter should match the number of tickets/stamps and bar receipts.

Push the home button on the iPad twice then enter the code 123456 when asked.

Next steps may not be required…

Select the ELAN 8 app (you may need to swipe across the screen to get to the page with this logo, but it’s also on the bottom toolbar.

Select the “Online Local” Controller (long alphanumeric number). If asked for a password, just hit Enter/Done without entering anything. 



The Up and Down arrows top left toggle between the different speaker sets. 

-Outdoor Bowls (deck speakers facing A Green), Patio (patio speakers facing B Green), Bar and Hall. 

To play venue Spotify make sure that for all of these the input on the bottom left is showing AIRPLAY. If not, tap whatever is showing there (maybe Chromecast) and it’ll bring up another window where you can change it. 







Switch to the Spotify app on the iPadSelect this and chose a Playlist, such as “Eediot’s Summer”(upbeat chill)

“Eediot's Retro Kitchen” (80s-90’s pop)








Next tap the “Listening On” icon and select “Airplay” / as the destination (if not already) then choose Irish Airplay.

Hit play and check you can hear music (in the Hall where you are is easiest) then outside. Adjust the volume using the volume control bottom right on the ELAN 8 screen. 

If not hearing anything the Mute icon might be red.


The venue Spotify connection can be dodgy (it can stop temporarily or break up) so the best way to play music is from a device like a smartphone or laptop.

Connect the appropriate audio cable into the RCA sockets on the top of the AV cabinet.

There’s usually a cable there with a ‘Laptop’ tag on it- RCA at one end and mini-jack at the other to go into the phone/laptop but you can use an RCA-RCA too.











Then make sure that for all of the speaker sets you want to feed the input on the bottom left is showing HDMI OR COMPUTER INPUT

If not, tap whatever is showing there (maybe Airplay) and it’ll bring up another window where you can change it. 

Then wind the volume to full on your device, hit play and adjust the volume on the speakers controls bottom right of the iPad display.



NB: Even if inputting an HDMI signal (from a DVD player or laptop) audio for it must be input separately via the RCA inputs- audio is not taken form the HDMI connection.
